We are registered in Zambia and our operations are governed by the laws of the Republic of Zambia, including the Electronic Communications and Transactions Act and applicable data protection principles.
2. Information We Collect
We collect information only when you actively provide it. We do not collect data silently beyond standard server logs.
2a. Inquiry Form (Contact & Home Page)
When you submit a "Send Inquiry" form we collect:
- Full name
- Email address
- Phone number (optional)
- Subject and message
- IP address and submission timestamp (for spam prevention)
2b. Job Applications (Careers Page)
When you apply for a position we collect:
- Full name, email address, phone number, physical address
- Years of experience
- Cover letter
- Curriculum Vitae (CV) — uploaded as a PDF or Word document
- Answers to any role-specific application questions
2c. Server Logs
Our hosting provider automatically records standard server log data including IP addresses, browser type, pages visited, and timestamps. This data is used solely for security monitoring and is not shared commercially.
2d. What We Do Not Collect
- Payment card details — we do not process online payments
- National ID or passport numbers
- Medical or biometric data
- Social media credentials
- Data from minors — the Website is not directed at persons under 18
3. How We Use Your Information
We use the data we collect strictly for the following purposes:

- Access to stored submissions is restricted to authorised Theotoka staff only
- Uploaded files (CVs) are stored in a protected directory and are not publicly accessible without a secure, time-limited token
- Admin access requires authentication — no public access to stored data
Retention: Inquiry submissions are retained for up to 12 months. Job application data is retained for up to 24 months from the date of application, after which it is deleted. You may request earlier deletion at any time (see Section 5).
No method of electronic storage is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.
5. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — ask us to correct inaccurate data
- Deletion — ask us to delete your data, subject to any legal retention requirements
- Withdrawal — if you applied for a job and wish to withdraw your application and all associated data, contact us and we will remove it
To exercise any of these rights, email sales@theotoka.com with the subject line "Data Request". We will respond within 14 business days.
7. Third-Party Services
The Website loads resources from the following third-party providers:
